ESS Time Entry

    We are looking at implementing ESS Time Entry.  I'm a little confused on the time records after the supv has approved the pay period.  What happens if the employee forgot to enter time such as overtime and the supv already approved the time?  How does it get entered?  What if the employee enters Vacation time, but it should be Sick time.  How are these corrections done in ESS Time Entry?

    I've also noticed that HS535 changes the status of the records?  Does it change the status if the employee enters their time, but the supv hasn't approved the time yet?  We want all time records to be approved prior to us extracting them for processing.  Would the supv still be able to approve the record after the HS535 has ran?

    Any assistance or clarification would be appreciated.

      We've been using ESS Time Entry since 2008.  Our company has approximately 2000 exempt and non-exempt employees that use time entry.  To answer your questions, here is how we handle these situations:

      - If a supervisor changes the time to a status of Approved, but the time has not yet been processed, the supervisor can change the status to reject, the employee can correct it and then the supervisor can change the status to Approve.

       - If time was never entered for a pay period that has already been processed, an employee can go back and enter time for prior pay periods.  If your using PR132, it will look back and calculated OT if needed.

       -If some time had been entered, approved and processed and the employee realizes they forget to enter something (ie, a day of vacation) or entered something incorrectly (vacation instead of sick leave) we have them print their time card from time entry mark the corrections on it and send it to us so we can manually enter it.

      -HS535 allows you to select the statuses of the time records you want it to process.  We also only process what's been approved by the supervisor so we only have HS535 look for a status of 2.

        Jodi - you mentioned the employee can go back and enter time they forgot for prior pay periods. We're trying the same thing, but find the only way to get it to work is if you delete the pending time records. Are you keeping historical records and just updating the status - or do you delete them?
