W2 Fields and Table...

    Anyone know if there are fields in a table for each of the fields that are displayed on the W-2???? I was hoping that I might be able to build something to create an online W-2 for associates.

    (I know that MHC has an add-on to display W2 pdfs but I would rather not add-on their solution if I could just create a page to pull the fields.)

      The wage and deduction fields are stored in the QUARTWAGE and QUARTDED files and would need to be summarized. Another option would be to use the output of the PR297 program as the input to the online W-2 forms.

        However, QUARTWAGE and QUARTDED are the quarterly amounts and not all of the fields that display on a W-2. I guess I was hoping that there was a table that held each of the W-2 fields - as individual fields... nothing I would need to total, combine or interpret before displaying on a page.

        I just get frustrated around this time of year because Lawson does not have their own solution for providing W-2's through ESS. I think I pay enough for Lawson and don't want to buy another solution to provide online W-2's. It is just displaying data - should not be that difficult to provide...

          Is this an add-on to ESS that others would be interested in? If so, I can probably develop it and post it in the store. =

            We've just recently done the same in house - quite a challenge! Clients have been asking Lawson for this functionality for years, and just recently, I received this response from Lawson regarding at least one ER - "The status of Lawson Enhancement Request Number 14832 has been updated.
            NEW STATUS: Not Being Considered
            The reviewer has determined that this is not in future Lawson Development Plans and if the ER is to continue, must be modified and re-submitted.
            Brief Description:
            I would like to request that W2's be offered through emss just as pay checks are issued through emss. Along with the last years W2's should be a history option to view previous years W2's.
            Reviewers Comments:
            Our strategy has been to partner with other organizations to support electronic W-2 functionality. There are broad considerations around the creation and storage of, as well as electronic access to, W-2 forms and information. This is not something we are planning to build into Lawson products at this time, but will continue to pursue improved and expanded partnerships to support this type of Payroll specific functionality."

              I'm not surprised that Lawson is not creating their own W2 solution since they are closely partnered with MHC. We did not consider creating our own due to the effort / expense required and ended up buying the MHC W2 solution which is "supported", relatively reasonable and works well. Keep in mind there is more functionality to this that you may need other than rendering the fields. I'm fairly certain that state or Federal Legislation requires that the user "consent" to electronic delivery and this data needs to be stored for audit purposes - unless you print the W2 anyway which defeats the purpose of electronic delivery. Packaged solutions also offer access to multiple years of W2's and allow you to print the PDF for your tax preparer. As with all in house developed solutions, supporting it when breaks from an upgrade or the IRS changes required fields on form W2 needs to be kept in mind. Good Luck!

                  I have a solution for providing W2's online. This required no additional software purchases and seems to be a low maintenance option.

                  It works for us because:

                  1. We have individual W2 documents in PDF format for each associate.
                  2. We use active directory user accounts for logging into Lawson ESS/MSS. (The solution could also email documents - but we are not going to email...)
                  3. We have Process Flow Integrator and ESS/MSS.
                  4. We are planning to mail W2's and provide them online next year ... (We might change our decision and provide online only but that will probably not be considered for a while.)

                  If you have each of these and want to deliver W2's online let me know.

                        A portal bookmark can use variables for example:
                        http:// server.domain.com / foldershare / <<EMPLOYEE>>/W2index<<EMPLOYEE>>.html
                        (Using this bookmark opens a shared folder where each associate has a secure folder with their W-2 files.)
