Email an Open Enrollment Confirmation Statement to the employee

As part of our open enrollment process this year we would like to send confirmation statements to employees via email prior to when they become effective. We also would like to provide the functionality where by selecting a bookmark link the employee could request a confirmation statement be sent to then via email during open enrollment. Has anyone developed the functionality of sending confirmation statements via email during or after open enrollment that they would like to share?

Isn't email confirmation an option built in at the end of the process already (but, the employee has to select it)?

I found out from Lawson support that EMSS 9.0.1.6 includes functionality to email an open enrollment confirmation statement at the point when the employee is asked if they want to print their elections. We are at version 9.0.1.4 of EMSS. With our open enrollment starting 8/15 and that fact we have some EMSS customiztions related to benefits enrollment we decided to look at the available ESS/MSS updates after we have completed open enrollment.

We are on 9016 EMSS and I don't see the e-mail option. Is there an additional set up step? I thought the e-mail option was in 10.

Let me know if there is a set up screen I've missed.

It is available in 9016 EMSS. There are process flows you have to install and enable that were delivered with the new EMSS install. I can't remember where they're stored, but there should be instructions in the EMSS Install Guide.

Is anyone on this thread/topic on Windows?

When we installed ESS/MSS, we were told the email couldn't be used because it automatically defaulted to Outlook (which we don't use). Additionally, not all of our employees have a company email account.

Has anyone encountered else either of these obstacles and been able to determine a way around either of them?

We're not on Windows, and although we're on Outlook now, we started out with the Personnel Action notifications going to our Groupwise email system. No problem. When we went to Outlook later, nothing had to be changed and everything still works. We are now on EMSS 9.0.1.6.02 and are using the new Benefit confirmation email (delivered flow EMSSBenSumEmail.xml). I'd question whoever told you that it only works with Outlook (or better yet, just try it). We also have employees at another location who are still on Groupwise, and notifications to them work fine.

I forgot to respond to your second issue.
I just tested an email notification to my home gmail account, and it worked just fine.
So assuming there really isn't an Outlook requirement for Windows, emailing to your employee's non-work email addresses should work.

I think what you are referring to is that the original versions of email functionality in ESS/MSS opened the Outlook client in order to send out email, not that the recipients required Outlook. This was a problem for not only clients who didn't have outlook, it was annoying, and frequently misunderstood and mistaken for a security breach on a user's computer.

That behavior was changed several years ago, and now all email goes through the ProcessFlow server, so that it doesn't require Outlook or any specific email client.

Am I understanding correctly that you have to have process flow in order for the email to be sent to the user?  Is it the free process flow or the licensed process flow?  Thanks.

Question not only on confirmation statements but also on enrollment forms.  We have built custom forms (enrollment and confirmation) which require some heavy lifting with respect to modifications around OE.  Does Lawson have out of the box enrollment and confirmation forms?

We have the flow (EMSSBenSumEmail.xml) with the service name added (EMSSBenSumChg) and it has been uploaded. The service in enabled and active in Workflow Mgr.

When I go thru enrollment I get the print option but I don't have the email option.

Is there any other setup I need to complete? I can't find any information about the setup on Infor's knowledgebase.

I'm sure you've already looked for this - but the employee won't get a prompt for the email option if they don't have an email address on HR11.

There is a parameter you need to enable in the emss_config.xml file.

All employees have their work email address on HR11, so that shouldn't be a problem.
The only enrollment related parm I see in the emss_config file is the following, and it is set to true.

Are you able to get email's from any Process Flow?
If not, then something is wrong in the configuration.
1. ProcessFlow Admin Tool (bpm/menu.do). Configuration, Configuration Properties, Global, Mail_From has to have a field value (e.g. HRPF@mycompany.com).
2. $Lawdir/system/bpm.properties, mailServer=yourmail.server.name
There may be more, but this is a start.

Okay, I think I have the answer. After our last upgrade we had the same problem and discovered that a new security rule was needed. Make sure your EMSS security classes grant full rights to WF, WFWK, and WFWK.1. As soon as we granted these, we started getting results from EMSSBenSumEmail.

We finally got the email option to show up after making sure the tables WFSERVICE and WFSERVPROC in the LOGAN prodline were made available to the users in security.
