Electronic W-2's

Does anyone offer Electronic W-2's to their employee's?  If so do you offer them to terminated employees?  What time of year do you obtain the consent from employees?

We use Document Self Service from MHC to offer electronic W-2s to our employees.  Since we do not expose this application to the internet (it is only available on our intranet) terminated employees do not have access so we mail them a printed copy.  We usually send out a communication to all employees in early December reminding them this option is available and asking for consent but they can sign up at anytime.

Dan- do you send an email letting the employee's know that their electronic w-2 is available to view?

Sorry for the late reply but I just saw your question. Yes we do send out emails when the W-2s are available using the MHC product.

We also offer W-2's and follow a similar format that Dan does.  Not to termed employees but we default them into electronic and they have to opt out.  We do that communication in December as well.
