    Hello. Brand new member here. I have a question about the general process of issuing Bill Only Purchase Orders.

    If there is more appropriate location for this question, please direct me.

    Is this the correct process:

    1. Orthopedic implant is implanted during surgery
    2. The Orthopedic Rep places the implant stickers from the implant on an Implant Sheet
    3. The Orthopedic Rep submits the Implant Sheet to the OR Coordinator/Charge Nurse
    4. The OR Coordinator/Charge Nurse creates a Requisition Number and submits it to the Buyer/Procurement
    5. The Buyer issues a Bill Only Purchase Order


    What steps are missing from this process or what is incorrect?

    Thank you for any guidance or help you can offer me.

    That is descriptive of the general business process used by a significant percentage of the Lawson/infor client base that uses Lawson/infor in a healthcare setting. There are multiple ways a PO can be created and the amount of manual vs automated creation as well as fields and functionality to be used is a task for the implementation team to work out. The fields/values on the PO will also vary from client to client; there are some general practices that many of us follow but the system can be configured and used in a variety of ways so don't get too locked into 'it has to follow this exact process' until you review the options of what is available and match that to your current or preferred business processes. I've seen this as an entirely automated interface where the details come direct from the surgical system and the result is a released Lawson PO without anyone doing anything other than recording the details in the surgical application.

    A ton of this is going to depend on how you set up your OR in Lawson. We have a separate requesting location for the bill only reqs.

    3. The Orthopedic Rep submits the Implant Sheet to the OR Coordinator/Charge Nurse

    • Yes, this is typical, but there's also the option of the vendor submitting a flat file electornically and using Cloverleaf/IPA to generate a requisition or RQ500 that then routes to the OR to confirm.

    4. The OR Coordinator/Charge Nurse creates a Requisition Number and submits it to the Buyer/Procurement

    • We have an OR Coordinator approving the req to verify the patient info and serial numbers, etc
    • In Lawson, the requisitions know if they are not pulling from inventory that the "Create PO" flag is Y (Yes).  So there's no submitting to the buyer.  All approved requisitions with Create PO Y sit on the PO Interface and wait to be converted to POs.

    5. The Buyer issues a Bill Only Purchase Order

    • The buyers can do this on the PO Worksheet or you can the PO Interface job run - you would filter on any number of things including bill codes.

     

    The vendors can get the POs either through a vendor portal or you'll need to work out how the buyers will know where to issue these POs to.
