New Year Benefits Set Up... Help!

    Hello to anyone who can assist here....

    Our HRIS Manager left the company and I am stuck with the task of making sure our benefits carry over into 2011. We are chaning carriers so I will need to add new meidcal carriers, etc. I'm not sure where to start.... BN15? I know he ran something as well to easily stop all benefits to end 12/31 so we could load the new ones...

    We have a very basic set up.. no COBRA, Flex Plans/Credit, stocks, vacation, or invoicingng for excess life insurance, etc.

    Any advice on where to begin would help. I can't find the Lawson books we had either, hence why I am reaching out here.

      Hi Jerry,
      Do you have an account to the MyLawson.com support site? If you do, they have the user guides for each module posted there. Also, they have a webinar on Sept. 30 on Benefits Year End and Open Enrollment. You can register for it on the MyLawson site as well. BN15 is where you would add the new benefit plans. There are some things you would need to set up before adding the new plans such as payroll deduction codes, information for the insurance carriers, etc. There are a number of update jobs that you may or may not need (mass terminate benefits, mass add benefits, updates based on the plan, updates based on employee information). Also, if you have a test site, I would encourage you to try and set them up there first to make sure everything processes as expected.

        Hi Jerry - BN103 can end plan enrollments for you, and create csv files that can be used to re-load into new plans. Copying is always a good thing in Lawson for your new plans, but you need to make sure you catch all the differences. Not sure how many plans you're dealing with, or if ESS and annual enrollment is involved, but
        as Laura says, your best bet is probably to grab the user guides from the Lawson support site as at least a start. You may be better served by trying to get a consultant versed in benefits to come in to show you the ropes, and help you get some SOPs so you don't have the problem in the future.

            Jerry: The BN01 is where you will enter your new carrier. If you are changing carriers only and not plan code, that is done on BN15. We have done that with our life insurance plans and I just select a different effective date and change carrier.If you are changing plan codes you will need to set up the new ones on BN15. The BN103 will mass terminate any benefits. The BN105 will terminate the benefit and set up a new one automatically for the beginning of the year.As said by the others, there may be other set ups that need to be done. We use the age table BN02 for life and disability plans and they have to be created every year.

            I can sympathize with you as when I took the position I am in now, i did not know anything about set ups. However, the person before me had screen prints that helped me. That may be a good idea for you to do.

            I am assuming you will doing this set up first in a test environment.
